Grooming Release Form & Terms & Conditions

By booking an appointment at Clips Dog Grooming, whether in-store, via telephone, or online - you acknowledge and agree to abide by the following Terms and Conditions.

General Statement

​​​

At Clips Dog Grooming, your pet’s wellbeing and safety are our highest priorities. We aim to provide a professional, calm, and respectful grooming experience for every pet, while also ensuring the safety, dignity, and working conditions of all our staff—including apprentices.

Binding Agreement

​​​​​

By booking an appointment with Clips Dog Grooming, you confirm that you understand and agree to comply with our Zero Tolerance Policy in full. We reserve the right to refuse service to anyone who fails to adhere to these standards.

​

Puppy Success Package

​

The Clips Puppy Success Package (“the Package”) is offered as a discounted multi-session bundle exclusively for puppies aged 8 weeks to 8 months. By purchasing or booking any element of the Package, the client agrees to the following terms, in addition to Clips Dog Grooming’s standard Terms & Conditions.

Package Contents & Validity

The Package includes:

  • Three (3) Puppy Pamper Sessions

  • One (1) Full Groom (Stylist or Senior Groomer, depending on the preference) 

  • One (1) Bonus Bath (included free and must be used during the validity period)

​

Packages are valid for 4 months from the date of purchase.

Sessions not used within the validity period will be forfeited and no refund or credit will be given.

The Package is non-transferable and must be used for the same puppy throughout.

​

Booking & Appointment Requirements

All Package sessions must be pre-booked in advance.

Appointments are subject to availability; Clips Dog Grooming cannot guarantee preferred days or times.

Puppies must arrive on time, suitably toileted, and wearing a secure collar or harness.

​

Cancellations, No-Shows & Late Arrivals

48 hours’ notice is required for cancelling or rescheduling any Package session.

Cancellations with less than 48 hours’ notice will result in the session being deducted from the Package as a used appointment.

No-shows will be treated as a completed session and deducted from the Package.

Late arrivals (10+ minutes) may not be able to be accommodated and will also be treated as a used session.

Behaviour, Safety & Welfare

The purpose of the Puppy Pamper Sessions is gentle desensitisation; dogs that display stress, aggression, or behavioural issues may require adjustments to the grooming plan.

If a puppy becomes too distressed or unsafe to continue, the groom may be stopped. The appointment will still count as a used session.

Clips Dog Grooming reserves the right to refuse or stop services if a puppy poses a risk to staff, other dogs, or itself.

Coat Condition & Matting​

The Package discount does not cover additional charges relating to matting, excessive coat condition, fleas, or extended grooming time.

Checks will be carried out at each session, and any additional fees in our T&C's will be apply/ be discussed before continuing.

Use of the Bonus Bath â€‹

The bonus session has a £45 value but is included free within the package and cannot be exchanged or refunded.

It must be booked and used within the overall package validity period.

If missed, cancelled late, or not attended, the bonus session is forfeited.

Payment & Refunds

​ Full payment is required at the time of purchasing the Package.

 The Package is non-refundable once the first session has taken place.

 If no sessions have been used, refunds may be considered at the salon’s discretion but will incur a £25 administration fee.

Changes to Services

Clips Dog Grooming may revise or update Package offerings, pricing, or terms at any time.

Any changes will not affect Packages already purchased unless required for welfare, safety, or operational reasons.

Owner Responsibilities

​Puppies must be up-to-date with vaccinations appropriate for their age.

Owners must disclose any medical or behavioural issues prior to booking.

 Regular brushing at home is expected to support the puppy’s grooming development.

​

Safety & Wellbeing

​​​​

The grooming process involves handling tools and equipment that may be sharp or cause distress to nervous or reactive pets. While every effort is made to avoid accidents, all pets are handled with the utmost care, and any incidents will be documented and reported to you.

If your dog becomes aggressive or too stressed, we reserve the right to stop the grooming process at any point for the safety of your dog and our team. A service fee will still apply for work completed up to that stage.

Zero Tolerance Policy on Abuse, Harassment and Disrespect

​​​

At Clips Dog Grooming, we are committed to creating and maintaining a safe, respectful, and professional environment for all clients, their pets, and our team, including senior groomers, stylists, apprentices, and junior staff. The emotional and physical wellbeing of our staff is a priority, and we have implemented a strict Zero Tolerance Policy to protect them from any form of mistreatment.

We Operate a Zero-Tolerance Policy​

​​

We operate a zero-tolerance policy towards any form of aggressive, threatening, or abusive behaviour towards our staff this includes apprentices, trainees, and all grooming staff. Any such behaviour will result in:

·       Immediate termination of the appointment or interaction.

·       Full charges applied for the booking, regardless of grooming completion.

·       Permanent refusal of future services.

This applies to all communication methods: in-person, telephone, messaging platforms (e.g., text, WhatsApp), email, or social media.

Examples of Unacceptable Behaviour

​​​

Examples of abusive or inappropriate behaviour include, but are not limited to:

·       Raised voices, shouting, swearing, or aggressive tone.

·       Personal attacks or derogatory language directed at staff or apprentices.

·       Physical intimidation or threatening body language.

·       Unfounded accusations or confrontational questioning.

·       Harassment through persistent calls, messages, or emails.

·       Threats of leaving bad reviews or negative public commentary as a means to intimidate or coerce staff.

·       Spreading false or malicious statements about staff or the business online, in-person, or within the local community.​

Our Right to Legal Recourse

​​​​

We take the safety and mental health of our team extremely seriously.

In cases where abuse, defamation, negativity or harassment occurs:

·       The incident will be documented and logged internally.

·       We reserve the right to report serious matters to local authorities.

·       We will pursue legal action in cases of libel, defamation, or public slander that impact the business or any individual staff member.

False or malicious online reviews or threats of such as retaliation will be treated as a direct violation of this policy and legal steps will be taken where necessary.

​Apprentice / Junior Protection Clause

​​​​

We are especially protective of our apprentice/junior groomers, who are developing their skills under supervision. Clients are expected to treat them with patience and respect. Any form of direct or indirect criticism, intimidation, or derogatory comment toward an apprentice / junior will be escalated and addressed as a serious breach.

Feedback, if necessary, should be submitted respectfully to senior staff and will be welcomed only when delivered in a constructive, appropriate manner. We appreciate all feedback with all grooms.

Our junior / apprentice grooming sessions are, where care and learning go hand in hand!

Our grooming junior/ apprentice is currently completing their professional training. While they are still developing their skills, they are dedicated to providing a safe and positive grooming experience for your pet.

Junior/ apprentice grooms are offered at a reduced rate to reflect their learning journey, which means the final groom may not meet the same high standards as those completed by our more experienced staff.

This offers great value while supporting the development of a future professional groomer.

Please note:
As our junior is still in training, they are not yet able to handle aggressive or highly challenging dogs. For these pets, we recommend booking with one of our experienced groomers.

All services provided by our junior/apprentice are subject to our full terms and conditions.

Satisfaction Policy

​​​​

If you are dissatisfied with your pet’s groom, notify us before leaving the salon. We will happily make reasonable adjustments. Once you leave, any further grooming will be charged as a new appointment.

​​

​Late Arrival Policy

​​

Each appointment is allocated a specific time slot. Clients arriving late may forfeit their appointment and still be charged. If we can accommodate the appointment, it may be shortened. Late arrivals disrupt our schedule and impact other clients.

Please call us as soon as possible if you expect to be late.

Health or Medical Conditions​

​​​

Grooming can reveal or worsen medical issues. All medical expenses arising from grooming are the owner’s responsibility. Inform us of any known conditions beforehand. If your pet is under veterinary investigation or in recovery, please consult your vet before booking.

Fleas & Ticks

​​​

If fleas are discovered during grooming, a £70 treatment and cleaning fee per dog will apply, and grooming will be stopped immediately. If ticks are found, removal is charged at £10 per tick with prior client approval.

Appointment Amendments​

​​​

We may need to reschedule appointments due to staff illness or emergencies. We will contact you as soon as possible to rearrange.

Poodle Grooming Pricing Policy

All poodle grooming services (including toy, miniature and standard poodles, as well as poodle-crosses receiving poodle feet or poodle face work) will automatically be charged one size category higher than the dog’s physical size.

This is due to the specialist nature of poodle grooming which requires significantly more time, precision and technical skill, including:

 

  • Poodle foot shaving

  • Clean face shaving

  • Top knot maintenance and styling

  • Breed-specific scissoring and pattern work

  • Additional prep time due to coat density, curl pattern and regrowth structure

These elements extend the grooming duration beyond that of a typical small-breed or toy-sized appointment. As a result, poodles and poodle-crosses receiving poodle trims will fall under the next size up for pricing.

 

This policy ensures our groomers are able to perform the correct breed-standard techniques safely and to the high standard expected at Clips Dog Grooming.

Notification & Collection​

​​​​

You will be contacted once grooming is complete. Dogs must be collected within 20 minutes.

Late collection fees: - £10 for the first 15 minutes beyond the collection window. - £5 for every additional 15 minutes.

Late fees cover additional supervision and care.

Accidents & Emergencies​

​​​

Despite our best efforts, grooming carries inherent risks. Minor nicks, clipper irritation, or quicked nails can occur. In the case of a serious issue, we will contact you immediately and seek veterinary care if needed.

All veterinary costs are the owner’s responsibility.

Grooming by Apprentices / Junior's

​​

​Services performed by apprentices / Juniors are always monitored by a qualified groomer.

Groom results may vary. Clients selecting an apprentice groom acknowledge:

·       Results may differ from those of experienced groomers, owners are aware of this by booking an                    apprentice / junior groom.

·       Refunds will not be issued if service is performed to a reasonable standard that are expected with a            reduced service rate and expectations of a "apprentice / junior ".

·       Aggressive or highly anxious dogs will not be assigned to apprentices.

By booking with an apprentice/junior, you accept and understand the above conditions.

Dogs Under Veterinary Care

​​​​​

If your pet is under investigation or recovering from injury, please discuss suitability for grooming with us prior to booking. We will adapt grooming to meet their needs where possible.

Satisfaction Policy

​​​​

If you are dissatisfied with your pet’s groom, notify us before leaving the salon or within 24 hours of your appointment. We will happily make reasonable adjustments within this period. After this time it will be deemed to be a new appointment.

Appointment Time & Pricing Adjustments

​

At Clips Dog Grooming, we aim to provide a fair and transparent pricing structure. However, grooming times can vary significantly depending on coat condition, behaviour, breed, and size.

​​

  • Prices quoted at the time of booking are based on average grooming times for the breed and service requested.

  • If additional time is required due to matting, behavioural challenges, or other unforeseen factors, additional charges may apply.

  • These charges are at the discretion of the groomer and will be communicated where possible during the appointment.

  • By booking an appointment, you accept that the final cost may vary based on the time and work involved.

Vaccinations

​​

Puppies must be fully vaccinated before their first groom. We reserve the right to refuse service if your pet is not appropriately vaccinated.

Photography, Video & Media Usage

​

Clips Dog Grooming may take photographs and/or short video clips of your dog during their grooming session. These may be used for:

 

  • Monitoring and documenting your dog’s coat condition, skin health, and grooming progress.

  • Demonstrating grooming techniques, before-and-after comparisons, and results to you as the owner.

  • Staff training and internal quality control.

  • Marketing and promotional purposes, including (but not limited to) our website, social media accounts, printed materials, advertising, and digital campaigns.

 

 

Images and videos taken for marketing or promotional purposes will never include personal identifying information about you without your prior written consent. By booking with Clips Dog Grooming, you agree to the use of your dog’s image for the purposes listed above unless you notify us in writing prior to the appointment that you do not consent to public usage.

 

Internal use of photographs or videos (for health records, coat monitoring, and staff training) will still apply as part of our professional service standards, even if you opt out of public usage.

Coat Condition, Matting & Welfare

​

At Clips Dog Grooming, the comfort, safety, and welfare of your dog is always our priority. If your dog’s coat is matted, tangled, or in poor condition, additional time, specialist products, and extra care will be required. Matting can cause skin irritation, sores, and discomfort, and in severe cases, the most humane and pain-free option is to clip the coat short to remove the mats completely.

Please note:​

  • If a matted coat requires shaving, the hair may grow back unevenly and the skin may be sensitive.

  • We will always aim to preserve as much coat length as possible without compromising your dog’s welfare.

  • We may take photographs or videos of severe matting for internal welfare documentation, client education, or to highlight responsible coat care on our public platforms.

  • Any images used publicly for educational or marketing purposes will focus solely on the dog’s coat and grooming results, not on the owner’s identity.

By booking with us, you acknowledge and accept that:

  • We will always act in the best interest of your dog’s health, comfort, and safety.

  • Coat condition may affect the final grooming style and cost.​

​

Interruptions During Grooming

​

For your dog’s safety and wellbeing, we kindly ask that you do not re-enter the salon during grooming unless instructed. We will contact you once your dog is ready for collection which will discussed upon consultation and drop off before you leave.

If you return early and your dog sees, hears, or senses you, this can cause them to become excitable, stressed, or unsettled. In such cases, it is often impossible to safely continue with the groom. If this happens, the groom will cease immediately, whether completed or not. The full grooming fee will still apply regardless of how much of the groom was finished.

 

Should you wish the groom to be completed, you will need to book a new appointment. Please note that this will be charged as a full grooming service at the normal price.

 

This policy ensures the safety of your dog, our team, and allows us to carry out grooming to the highest standard without unnecessary stress or risk.

​

Muzzling

​​​​​

Muzzling is only used when absolutely necessary and does not harm your pet. It may help calm anxious pets and prevent injury. If a pet remains unsafe to handle, grooming will stop and a partial fee will apply.

​​​​

Interruptions During Grooming

​​​

For your pet’s safety, please do not knock, call out, or enter the salon during grooming unless instructed. We will contact you when your pet is ready.

​​

Matted Coats

​​​

Heavily matted coats may need to be shaved. This can result in: - Skin irritation - Minor nicks or redness - Bald spots or hair regrowth issues

An additional fee from £10 will apply depending on severity. Grooming may be refused or stopped if matting is extreme.

 

We appreciate that once your dog has been shaved, they may not have the aesthetic requested desire. However, authorizing us to shave your dog to a short finish will have been discussed upon consultation/arrival and/or you would have been contacted over the telephone to agree.

Cancellations & No-Shows

​​

·       Cancel with more than 48 hours’ notice – no fee.

·       Cancel within 48 hours – 50% of fee due.

·       Cancel within 24 hours or fail to attend – full fee due.

Persistent no-shows may result in refusal of future bookings.

Data Protection – GDPR

​

We store your personal and pet details securely. If you do not return within 6 months, we will securely delete your data. We do not share or sell your data to third parties.

Future Promotions & Competitions

All giveaways, discounts, or prize draws hosted by Clips Dog Grooming will follow these general guidelines unless specified otherwise:

  • Entries or participation must comply with any stated deadlines and entry methods.

  • Prizes or discounts are non-exchangeable, non-transferable and not redeemable for cash.

  • Winners (where applicable) will be contacted directly and publicly announced (with consent).

  • We aim to keep our promotions fun, fair and rewarding – and appreciate your understanding that offers are subject to availability and reasonable usage.
